Advisor Resources
Student organization advisors are integral to the success of the student leaders and the organization itself. Below are resources and information to assist advisors throughout the year. Please contact SOURCE@osu.edu or 292-8763 for additional assistance or information.
The Role of An Advisor
As outlined in the Registration Guidelines for Student Organizations at Ohio State, determined by the Council on Student Affairs, the following duties are required of student organization advisors:
- Verify the organization’s information and agree to the terms of the Campus Safety Act by signing off on the organization’s on-line registration.
- Verify the organization’s information and sign off on CSA funding requests.
- Be listed as a signatory on the organization’s checking account.
- Attend an advisor certification session once every three years.
- Sign off on reservations of University space and equipment, as requested by the University department granting the reservation.
Duties that are negotiable with the student leaders include, but are certainly not limited to the following:
- Attend all executive officer meetings.
- Meet individually with the organization president on a regular basis.
- Help the president prepare an agenda before the meeting.
- Explain University policies when relevant to the discussion.
- Take an active role in formulating the organization’s goals.
- Serve as parliamentarian for the group.
- Speak up during discussion when s/he has relevant information or believes the group is likely to make a poor decision.
- Help the organization leaders to prepare an annual budget.
- Review the organization’s finances with the treasurer quarterly or more frequently.
- Proof all official correspondence before it is sent.
- Require a carbon copy of all correspondence.
- Take an active role in the transition of responsibilities between old and new officers whenever that transition is scheduled to take place.
- Be custodian of all group paraphernalia, records, etc., during the summer and between transition of officers.
- Keep the organization’s official documents in her/his office.
- Attend all group events and activities.
- Recommend programs, speakers, seminars, etc.
- Assist or be responsible for the planning of retreats or leadership skills workshops.
- Ensure the organization’s members receive relevant announcements from the University.
- Represent the group in any conflicts with members of the University staff or faculty.

February 5, 2010 Deadline to apply for Programming Funds for spring quarter events (occurring March 29, 2010 - June 20, 2010)

April 30, 2010 Deadline to apply for Operating Funds for 2009-10 academic year
May 1, 2010 Re-registration period begins for student organizations for the 2010-11 year
Available Resources
The Student Organization Resource Center is located in room 113A in The Ohio Union @ Ohio Stadium between gates 22 & 24. Understanding Student Organization Statuses
Student Organization statuses are based on the amount of time an organization has been continuously registered with the SOURCE, and the completed registration requirements. Below is a listing of student organization statuses:
- Pending: organizations that are in the process of completing registration requirements for a given year. All organizations will be listed as pending prior to the annual October 15 deadline as registration requirements are being completed.
- Active - New/Re-established: organizations that have been registered for less than two (2) continuous years with the SOURCE; all registration requirements completed by the annual October 15 deadline.
- Active - Established: organizations that have been registered for at least two (2) continuous years with the SOURCE; at least 15 members of the organization; all registration requirements completed by the annual October 15 deadline.
- Inactive: organizations that have not completed all registration requirements by the annual October 15 deadline. This may include organizations who no longer exist as groups on campus.
- Unregistered: organizations that choose to be listed in the Student Organization Directory online, but that do not complete registration requirements and so do not receive any benefits or resources from the SOURCE.
Student Organization Funding
A portion of the funding generated by the Student Activity Fee is specifically set aside for student organizations. Available funding is divided between Operating Funds and Programming Funds. Both funding types are available by application only by the student treasurer, and that application is available online.
All registered organizations are eligible to receive $200 in Operating Funds. Programming Funds eligibility is based on the amount of time an organization has been continuously registered with the SOURCE: $2,000 is available for New/Re-Established organizations, and $3,000 is available for Established organizations. These dollar amounts reflect 2007-08 availability.
In order to receive CSA funding, the following items must be completed:
- Online application for funding submitted by the organization's Treasurer by the stated deadline. Click here for funding deadlines.
- All required trainings completed: Org Orientation, Treasurer Training, Advisor Certification.
- Advisor approved funding request.
- Advisor approved organization for current year.

Ohio Union Space Reservation Information
Registered and active student organizations are eligible for room reservation discounts in the Ohio Union. Download the Event Planning Tips and FAQs for more information about the space reservation process and information on how to plan a successful event.

Advisor Indemnification Letter
This letter is not a requirement, but is available to any student organization advisors for their personnel files to serve as official recognition of their roles as an advisor. The form should be completed by the advisor's supervisor and be printed on official University letterhead. If used, a copy of the completed and signed letter should be sent to:
